Privacy Policy
fileustaxes.com
File U.S. Taxes LLC ("File US Taxes," "we," "us," "our") operates fileustaxes.com, our social media and chat interactions (including "Ask Tiny"), and our general marketing communications. This Policy applies alongside, not instead of, our GLBA Privacy Notice and the IRC ยง7216 Consent Forms clients sign, which separately govern actual tax return information.
1. Two separate systems: the public site vs. the Vault
File US Taxes runs on two separated systems. The public website and marketing systems (fileustaxes.com, our social accounts, our chat assistant "Tiny," our newsletter, and our referral program) never receive or store your Social Security number, tax documents, or completed tax return. The Vault is our secure client system, hosted on Amazon Web Services (AWS) in US-based data centers, where actual client tax data lives. It is operated by a separate, access-controlled team and system that the public website cannot reach. Only your assigned preparer, and staff who must access your file for a specific reason, can view your information inside the Vault, and every such view is logged.
This Policy covers your interactions with the public website and marketing systems. If you are an existing or prospective client providing tax documents, see Section 7 (GLBA Notice) and the client portal's own data-handling disclosures.
2. Information we collect on the public site
Information you give us: your name, email, phone number (if provided), messages to Tiny or to us, referral program sign-up details (email, PayPal/Venmo handle), newsletter sign-ups, and any content you submit (reviews, survey answers, chat questions).
Information collected automatically: pages visited, device/browser type, approximate location (from IP address), referring site, and similar analytics data, collected through cookies and similar technologies (Section 5).
What we do not collect here: Social Security numbers, financial account numbers, or tax documents are never submitted through the public website or chat. If you accidentally paste sensitive information into a chat with Tiny, don't โ ask us to delete it and we will.
3. How we use public-site information
We use this information to operate and improve the website; respond to your questions through Tiny or a staff member; run the optional referral program; send marketing email or text messages you've opted into; measure which content and channels work; and comply with the law. We do not sell your personal information, and we never use it to make decisions about your actual tax return, because the public site never has access to it.
4. Tiny: automated assistant disclosure
Tiny is an automated assistant, not a person. When you chat with Tiny on the website, social media, or any other channel, you are interacting with software that answers using our approved knowledge base, not a human being, even though Tiny has a friendly character and a consistent voice. Every Tiny conversation discloses this plainly. If you ask to speak with a person, Tiny will offer to connect you with a preparer. Real, credentialed human preparers review and approve every tax return; Tiny does not prepare or review returns.
5. Cookies, analytics, and your choices
We use cookies and similar technologies for essential site function (for example, remembering a referral code for 60 days), analytics, and, where applicable, advertising measurement. On your first visit you'll see a cookie banner allowing you to accept or reject non-essential cookies. You can change your choices at any time through the cookie settings link in the site footer. Email and text marketing require your separate opt-in at signup, and every message includes an unsubscribe or stop option.
6. Children's privacy
This website is intended for adults capable of entering a tax preparation engagement and is not directed at children under 13. We do not knowingly collect personal information from children under 13. If we learn we have, we will delete it. A parent or guardian may contactinfo@fileustaxes.com to request deletion.
7. GLBA privacy notice (financial information)
As a provider of tax preparation services, File U.S. Taxes LLC is a "financial institution" for purposes of the Gramm-Leach-Bliley Act (GLBA) and issues a separate, more detailed GLBA Annual Privacy Notice to clients, provided at onboarding and annually thereafter, describing what nonpublic personal information we collect, how we use and share it, and your right to limit certain sharing. If anything in this public-facing Policy appears to conflict with the GLBA notice for actual client financial information, the GLBA notice controls.
8. No guarantee of tax outcomes
Nothing on this website, in Tiny's responses, in marketing content, or in testimonials is a promise or guarantee of any particular tax outcome: refund amount, audit result, or IRS acceptance of any position.
9. Testimonials and reviews
Any testimonials published on our website come only from clients who have given specific, separate, affirmative written consent for us to use their name/initials, location, and story in marketing, reviewed through our internal consent-verification process before anything is published. We do not publish anonymized aggregate statistics as individual testimonials, and we do not edit the substance of a published testimonial. As of this writing, no testimonials have been published on this site.
10. Sharing of public-site information
We may share public-site information with service providers who help us run the website, analytics, email, and referral program (under confidentiality obligations); a partner bank or payment processor if you use a referral-payout feature; law enforcement or regulators if legally required; and in connection with a business transfer, subject to this Policy's protections continuing to apply.
11. Data retention
Public-site marketing and analytics data is retained only as long as reasonably needed for the purposes above. Client tax records in the Vault follow a separate, longer retention schedule described in your engagement materials.
12. Your rights
Depending on your state of residence, you may have rights to access, correct, or delete your personal information, or opt out of certain sharing. To exercise any right, email info@fileustaxes.com. We will verify your identity before acting on a request.
13. Dispute resolution
See our Terms of Service for the dispute-resolution provisions that apply to disagreements about this Policy or your use of the website.
14. Changes to this Policy
We may update this Policy as our practices change. Material changes will be highlighted on the website or sent by email to subscribed users where required by law.
